Executive Boardroom — where the board votes, the CEO presents next year's strategy, and nobody leaks what was said

The Executive Boardroom is not a conventional event venue. It is a closed-door room, capacity 14 to 28, where Mexican industrial groups, family offices and IMMEX-operating companies hold their board of directors sessions, their quarterly C-level retreats, and their strategy committee meetings. What sets the Executive Boardroom apart is not the décor (sober: wood, leather, one art piece), but three things: the physical confidentiality of the space, the reliability of the material that is delivered, and the discretion with which it is delivered. In this room, three-year strategies are voted on, capital expenditures above $250M MXN are approved, the acquisition of a Saltillo plant is decided, a CEO is removed. The merch delivered in this room has to pass the same test that the room passes: discretion, quality, zero leaks.

Executive Boardroom logistics, access and custody

The Executive Boardroom operates with one load-in access, generally through the corporate building's private parking or through the back-of-house of the five-star hotel that houses it. The load-in entrance accepts 3.5-tonne vans during restricted hours (typically 7:00 to 11:00 and 17:00 to 20:00). There is no pedestrian load-in: operations staff deliver POP material and board kits with prior identification and signature in the logbook. The room has no visible back-of-house: material is staged on an auxiliary table behind a service door, and uniformed staff deliver it silently during session breaks or at the end of the day, before the closing dinner.

For board sessions attended by international independent directors (typically from the US, Europe or Asia), we invoice in USD at the Banco de México FIX rate of the day before the event, with USMCA compliance and support for deduction as Corporate Governance expense in the corporate fiscal close. For sessions attended by public officials, diplomatic corps, or guests with escort, we comply with the Executive Boardroom security protocol and the Banca y Industrial Police when applicable. The merch chain of custody is documented with signature, time, and (where the board protocol allows) discreet photography at each control point: load-in entry, inspection by room operations staff, transfer to auxiliary table, restocking during breaks, post-session collection.

For corporates with IMMEX operations, we provide complementary SAT invoicing with 16% IVA breakdown and support for deduction as Public Relations or Corporate Governance expense. For family offices, we invoice under the business-activities-with-income-from-participation regime. For industrial groups with US operations, we provide bilingual (es/en) invoicing and USMCA compliance when the boardkit crosses the border as part of the hospitality kit for the director residing abroad.

Confidentiality, Executive Boardroom compliance and prohibitions

The Executive Boardroom has operating rules the merch must respect: no mobile phones during voting, no merch with noise or distraction elements, no large backpacks or bags in the room, no POP material with third-party logos (frequently requested by corporates), no food or beverage outside the room's catering service. For sessions that require limited-edition merch (numbered retreat polo, signed book by the guest author, press with the corporate anniversary year), we liaise with the room's operations team to ensure the piece complies with the security protocol, the confidentiality protocol, and the broadcast protocol (when the retreat is internal and not recorded).

For sessions with media coverage (post-board press conference, quarterly results presentation, annual strategy launch), we comply with the corporate press protocol and the Executive Boardroom protocol, with pieces without third-party logos or with digital suppression when the corporate manual requires it. For sessions broadcast to industrial group plants (Bajío, Monterrey or Saltillo retreats broadcast to plants), we comply with the corporate broadcast protocol with screen-visible pieces and broadcast-hidden pieces.

For SAT invoicing, we issue CFDI 4.0 with 16% IVA breakdown and support for deduction as Corporate Governance, Public Relations, or Training expense, depending on the merch use. For corporates with IMMEX or US operations, we provide complementary invoicing in USD or EUR and USMCA support when the merch crosses the border. The merch is delivered with carta porte 3.0 when interstate or international transit applies, with foreign trade complement when applicable, and with payment complement when the corporate pays in instalments.

MOQ, costs and Executive Boardroom bookings

Board member kit — from $4,850 MXN before IVA per piece at 12-piece MOQ. Retreat kit — from $3,250 MXN before IVA per piece at 18-piece MOQ. Career recognition — from $11,500 MXN before IVA per piece at 4-piece MOQ. Protocol merch — from $2,950 MXN before IVA per person at 8-person MOQ.
