Salon A-7: the room where the vendor of the year receives the metal trophy and the dinner starts with the procurement director's toast

Salon A-7 is the gala dinner room of the corporate campus: 420 square metres of open floor with capacity for 240 in a banquet layout with central stage, 320 in a theatre layout with central aisle, or 480 in standing cocktail with live cooking stations; dimmable LED lighting in the corporate tone, low stage for the awards delivery, backdrop LED screen for the winner videos, procurement director lectern, room kitchen with three standard menus and a personalised menu for the corporate with extra charge, wine cellar with Mexican wines (Valle de Guadalupe, Parras, Queretaro) and international wines with optional pairing. This is where the vendor-of-the-year awards dinners run, where the supply chain recognition galas land, where the procurement area anniversary parties happen, where the strategic vendor loyalty events stage, where the fiscal year-end celebrations close out, and where the next-year vendor programme launch dinners open.

Salon A-7 logistics, access and service cadence

Salon A-7 runs on two freight accesses: the lateral dock of the campus (open 6:00 to 22:00, trailers up to 12 tons) and the underground parking ramp (open 8:00 to 20:00, 3.5-ton limit per vehicle). The lateral dock is the only one that accepts a full freight trailer with the statuettes and the vendor-of-the-year displays; the parking ramp accepts the 3.5-ton box truck and two cargo vans simultaneously. The room setup window is 12 to 18 hours before dinner and the teardown window is 4 to 8 hours after close. The campus operations staff audits each merch box with a metal detector and a visual inspection; POP material (banners, displays, backings) requires an entry guide signed by the organiser and the room operations lead.

For awards dinners with international vendors (typically from the US, Canada, Europe and Asia), we handle invoicing in USD at the Banco de Mexico FIX rate from the day before the dinner, with USMCA compliance and deduction support as Vendor Relations or Marketing expense in the corporate fiscal close. For awards dinners with IMMEX or US vendor operations, we handle complementary invoicing to the SAT with the 16% IVA breakdown and USMCA compliance support when the merch crosses the border as part of the international vendor recognition. The merch chain of custody is documented with signature, time stamp and photo at every checkpoint: dock entry, operations inspection, back-of-house transfer, restocking during recesses, post-dinner pickup.

Salon A-7 compliance, restrictions and permits

Salon A-7 enforces operating rules the merch must respect: no pyrotechnics inside the room (allowed in the side garden with campus and Civil Protection permits), no merch with sharp edges or cutting elements, no merch with flammable materials, no pets, no outside food or beverages beyond the room's kitchen service or the committee's authorised caterers. For awards dinners that require limited-edition merch (numbered anniversary vendor programme statuette, book tracing the corporate's vendor history, paperweight engraved with the award year), we coordinate with the room operations team to ensure the piece clears the security protocol and the diplomatic protocol when applicable.

For SAT invoicing we issue CFDI 4.0 with the 16% IVA breakdown and deduction support as Vendor Relations, Marketing or Strategic Procurement expense depending on how the merch is used. For corporates with IMMEX or US exposure, we handle complementary invoicing in USD or EUR with USMCA compliance support when the merch crosses the border as part of the international vendor recognition. Merch is delivered with carta porte 3.0 when interstate or international transit applies, with the foreign trade complement when applicable, and with the payment complement when the corporate pays in instalments.
