Boardroom: the room where the board approves the plan and the merch reflects the gravity of the moment

The Boardroom is the most reserved space of the corporate office or the law firm where board of directors meetings run, executive committee sessions with the CEO, owner meetings at family businesses, audit committee sessions and due diligence sessions ahead of an acquisition or merger. Capacity runs from 8 people in council layout with oval table and leather chairs, 14 in horseshoe with running table, and 20 in schoolroom with upholstered chairs and side tables. The room has a 65-inch LED screen, professional videoconferencing system (Cisco Webex, Polycom, Microsoft Teams), audio recorder with omnidirectional microphones for transcription, and back-of-house with waiting room for participants, compact coat check and coffee service. Free height is 3.5 metres, enough for professional video with zenithal lighting. We run four merch packages for boards and executive meetings.

Boardroom logistics, loading access and schedules

The Boardroom runs one loading access via the service elevator of the floor and the private corridor of the executive floor. The service-elevator access accepts boxes up to 50 kg per trip from 07:00 to 21:00; the private-corridor access accepts hand-carried pieces from 08:00 to 20:00. The setup window runs 4 to 8 hours before the meeting, and the strike window runs 1 to 3 hours after close. The executive floor security staff audits every merch box with a metal detector and visual inspection; POP merch (if any) requires an entry guide signed by the organiser and the floor security lead. For board meetings with independent director or audit committee member presence, we comply with the confidentiality protocol: merch delivered to the waiting room, no third-party presence, and receipt signed by the director or representative.

For due diligence sessions, we comply with the legal protocol: documented custody chain, photographs of entry and exit, and signatures of the corporate lead and the room lead. For meetings with international presence (EU majority shareholder, US legal advisor, UK investment fund), we invoice in USD at the Banco de México exchange rate of the day. The custody chain is logged with photo, signature and timestamp at every checkpoint.

Boardroom compliance, confidentiality and permits

The Boardroom enforces strict operational rules the merch must respect: no photography without authorisation, no undeclared electronic devices, no food outside the coffee service, no merch with flammable materials. For meetings requiring limited-edition merch (plate with the year, book signed by the guest author, press with the session date), we coordinate with the room lead to ensure each piece passes the security and confidentiality protocol. For meetings with public officials or diplomatic corps, we comply with the executive floor security protocol and the Bancaria e Industrial Police when applicable.

For SAT invoicing, we issue a CFDI 4.0 with 16% IVA breakdown and supporting documentation for deduction as Public Relations or Training expense. For corporates with IMMEX or EU operations, we issue complementary invoicing in USD or EUR and support USMCA compliance. The merch is delivered with Carta Porte 3.0 when interstate or international transit applies, with the foreign trade complement when applicable, and with the payment complement when the corporate pays in instalments.
