Forum: the room where panelists gather, the merch is given out in the lobby and the conversation continues on social media

The Forum is the Mexico City space where executive panels run (3 to 6 panelists with moderator), TED-format talks (a star speaker, 18-minute format), sector debates with regulator presence, industry round-tables with opinion leaders and thought-leadership presentations where the corporate brand wants to associate with the idea, not the product. Capacity runs from 80 people in horseshoe layout with upholstered chairs, 140 in theatre layout with central aisle, and 200 in mixed format with discussion camera and panelists table. The Forum fits a presentation with up to six panelists on wireless microphones, LED screen up to 5x3 metres, professional microphone system with handheld and lavalier mics, back-of-house with press room and green room for the panelists. Free height is 5 metres, enough for zenithal TV lighting. We run four merch packages for forums and panels.

Forum logistics, loading access and schedules

The Forum runs one loading access off the main street of the building and one auxiliary access through the parking. The main access accepts a 3.5-tonne truck from 07:00 to 21:00; the auxiliary parking access accepts a cargo van from 08:00 to 20:00. The Forum setup window runs 6 to 10 hours before the event, and the strike window runs 2 to 4 hours after doors close. The Forum operations crew audits every merch box with a metal detector and visual inspection; POP merch requires an entry guide signed by the organiser and the Forum operations lead. For forums with live broadcast (Bloomberg, El Financiero, Forbes, Proceso, Reforma, El Universal), we comply with the broadcast protocol: pieces carrying no third-party logos, digital logo suppression in close-ups when the corporate manual demands it, and merch delivery outside camera frame.

For forums with public officials (regulator, mayor, governor), we comply with the Forum security protocol. For forums with international presence (EU panelist, UK speaker, Asian investor), we invoice in USD at the Banco de México exchange rate of the day and comply with the Forum Federal Taxpayer Registry. The custody chain is logged with photo, signature and timestamp at every checkpoint: dock entry, transfer to back-of-house, set-up on table or counter, restock during the event, post-event collection.

Forum compliance, restrictions and permits

The Forum enforces operational rules the merch must respect: no indoor pyrotechnics, no merch with sharp edges, no merch with flammable materials, no pets, no outside food or beverage outside the Forum coffee service. For forums requiring limited-edition merch (t-shirt numbered by forum edition, signed book by the speaker, press with the panel date), we coordinate with the Forum operations area to ensure each piece passes the protocol.

For SAT invoicing, we issue a CFDI 4.0 with 16% IVA breakdown and supporting documentation for deduction as Marketing or Public Relations expense. For corporates with IMMEX or EU operations, we issue complementary invoicing in USD or EUR and support USMCA compliance. The merch is delivered with Carta Porte 3.0 when interstate or international transit applies, with the foreign trade complement when applicable, and with the payment complement when the corporate pays in instalments.
