Executive Auditorium — where the CEO presents next year's strategy to the 200 executives who will execute it or kill it

The Executive Auditorium is the space where Mexican corporates hold C-level strategy presentations, leadership keynotes, internal new-business-line launches, and director alignment sessions with the expanded board. Capacity runs 100 to 250 in theatre format, with central LED screen, surround audio, and videoconference system for remote participants. What distinguishes the Executive Auditorium from a conventional event room is not the capacity (materially smaller than the Main Auditorium), nor the equipment (typically newer and higher-quality), nor the proximity to the board (on the same executive floor as the corporate, or in an adjacent parallel suite). What distinguishes it is the audience. At the Executive Auditorium, attendees are the 100 to 250 executives the CEO has called for alignment: business unit directors, regional directors (Bajío, North, CDMX, US, Latin America), functional leads (finance, operations, commercial, marketing, HR, legal, compliance), expanded board guests, technology partners. The Executive Auditorium merch has to respond to that audience: executive presentation (not festival), boutique editorial curation (not mass expo), corporate manual compliance (not festival manual), and confidentiality protocol compliance when next year's strategy is at stake.

Executive Auditorium logistics, access and internal broadcast

The Executive Auditorium operates with one or two load-in accesses depending on location: when inside the corporate, access is via the service freight elevator or the technical corridor of the executive floor with restricted hours and a short mounting window (3 to 5 hours before the session); when in a five-star hotel or premium convention centre, access is via the service corridor with prior identification and signature in the logbook, typically during a 7:00 to 10:00 or 14:00 to 17:00 window. Executive Auditorium operations staff audit every merch box with visual inspection; POP material (internal banners, kakemonos, displays) requires an entry guide signed by the organiser and the Executive Auditorium operations lead.

For presentations with regional director presence from abroad (typically from the US, Europe, Asia or Latin America with USMCA operations), we invoice in USD or EUR at the Banco de México rate of the day before the event and USMCA compliance when the merch crosses the border as part of the hospitality kit. For presentations with broadcast to the corporate's plants (Saltillo, Monterrey, Bajío, CDMX, Tijuana), we comply with the corporate broadcast protocol with screen-visible and broadcast-hidden pieces. For presentations with external auditor presence (Deloitte, PwC, KPMG, EY), we comply with the audit protocol with discreet pieces and synchronised load-in logistics with the audit opinion delivery.

For presentations with regulator presence (CNBV, Banxico, CONDUSEF, COFECE, COFEPRIS, SE, Economía when applicable), we comply with the regulator and corporate protocol, with discreet pieces and synchronised load-in logistics with the regulator's agenda. The merch chain of custody is documented with signature, time, and (where the Executive Auditorium protocol allows) discreet photography at each control point: service entry, inspection by operations staff, transfer to auxiliary room, restocking during breaks, post-session collection.

Executive Auditorium compliance, prohibitions and permits

The Executive Auditorium has operating rules the merch must respect: no mobile phones in the room during presentations, no merch with noise or distraction elements, no large backpacks or bags in the room, no POP material with third-party logos (frequently requested by corporates and required by the confidentiality protocol when next year's strategy is at stake), no food or beverage outside the Executive Auditorium or authorised catering service. For presentations requiring limited-edition merch (numbered corporate anniversary polo, signed book by the guest author, press with the new strategy year), we liaise with the Executive Auditorium operations team and the CEO's office to ensure the piece complies with the security protocol, the confidentiality protocol, and the legal protocol (when the presentation includes material regulated by the CNBV or the SEC).

For presentations with subsequent media coverage (CEO press conference, internal launch followed by public announcement), we comply with the corporate and Executive Auditorium press protocol, with pieces delivered in the press room and not in the Executive Auditorium, to avoid interrupting the presentation.

For SAT invoicing, we issue CFDI 4.0 with 16% IVA breakdown and support for deduction as Marketing, Public Relations, or Training expense, depending on the merch use. For corporates with IMMEX or US operations, we provide complementary invoicing in USD or EUR and USMCA support. The merch is delivered with carta porte 3.0 when interstate or international transit applies, with foreign trade complement when applicable, and with payment complement when the corporate pays in instalments.
