Mexican conference merch is built around the venue delivery window

The Mexican conference calendar runs around the venue delivery window — the merchandise has to land at the venue loading dock 24–72 hours before the show opens, with the venue's receiving protocol cleared in advance. Expo Guadalajara has its own receiving protocol with specific pallet dimensions and a security check at the gate; Cintermex Monterrey has its own receiving protocol with a dedicated freight entrance and a 24-hour advance manifest requirement; WTC CDMX, Centro Citibanamex, the Poliforum León, the Querétaro Centro de Congresos and the Cancún Maya Hall each have their own. The merch vendor has to know the protocol for every venue on the calendar.

The attendee-merch spec lands typically 4–6 weeks before the show opens. The kit count is a forecast — usually with a 10–15% flex on the final number. The piece mix varies: tote bag, T-shirt, badge holder, lanyard, drinkware, notebook, pen, the sponsor-branded giveaways that go in the swag bag. Bilingual ES/EN collateral is the default for international-attended shows; monolingual Spanish is the default for the domestic corporate events.

Programs we run for conference organisers

Attendee merch and swag-bag kits

Annual cycle kits for the show's attendee bag: branded tote, branded apparel, drinkware, notebook, pen, the sponsor-branded giveaways. Per-show runs of 500–25,000 pieces, with venue delivery 24–72 hours before the show opens. Pallet dimensions and receiving protocols are venue-specific (Expo Guadalajara, Cintermex, WTC CDMX, Citibanamex, Poliforum León, Cancún Maya Hall).

Speaker and VIP kits

For the show's keynote speakers, panelists, and VIP attendees — premium tier uses Italian vegetable-tanned leather from the Toscana partner; standard tier uses Mexican full-grain leather sourced in León, Guanajuato. Both tiers can be paired with a Montblanc-equivalent pen. Per-show runs of 50–500 pieces, with venue delivery 48 hours before the show opens.

Volunteer and staff apparel

Branded apparel for the show's volunteers, registration staff, badge-check staff, AV crew, and security liaison. Per-show runs of 100–1,500 pieces, with venue delivery 24–48 hours before the show opens. NOM-004 textile labelling, NOM-009-STPS-2011 alignment for the safety footwear where the volunteer role is on the floor.

Sponsor presence and booth kits

For the show's sponsors — the premium-tier sponsor booth presence, the mid-tier sponsor's conference-room kits, the entry-tier sponsor's attendee-bag inserts. Branded apparel, premium presentation kits, the sponsor's bespoke merch proposal. Per-show runs of 25–500 pieces per sponsor.

Venue protocols, freight manifests and customs paperwork

The receiving protocol is venue-specific. Expo Guadalajara requires a 48-hour advance manifest with pallet dimensions, weight, and the receiving slot booked through the venue's operations team. Cintermex Monterrey requires the same plus a dedicated freight entrance and a security check at the gate. WTC CDMX and Centro Citibanamex require the manifest plus the venue's own receiving slip. The Poliforum León, the Querétaro Centro de Congresos, the Mérida Yucatán Siglo XXI, the Tijuana Centro de Convenciones and the Cancún Maya Hall each have their own protocol, which the merch vendor has to clear in advance.

For international-attended shows (the ones with US, European, or LATAM speaker and attendee presence), the customs paperwork has to clear both sides. CFDI 4.0 with USO CFDI G03 (gastos en general) for the Mexico-side procurement line, USD billing standard for the international sponsor table, and the temporary-import documentation for the international speaker kits that have to be returned to their home country after the show.
