Quarterly corporate meeting: four sessions a year that set the business rhythm

The quarterly corporate meeting is the event that sustains the cadence of internal business communication. Four times per year —at the close of each fiscal quarter— the CEO, the CFO and the executive committee meet with the area directors to review results, adjust the operating plan and align the strategy for the following quarter. Corp-Merch.MX produces the board pack, the kickoff gift, the session material and the curation of the quarterly kit for corporates in Mexico City, Guadalajara, Monterrey, Querétaro and Puebla. We handle production from 20 attendees in an executive C-Suite session to 200 attendees in a departmental session. Invoicing is issued with CFDI 4.0 to SAT, 16% VAT, deductible as an Industrial Relations or Training expense, with deduction support for IMMEX programmes and USMCA operations.

Board pack, session material and recording

The board pack is the centrepiece of the quarterly meeting. We produce the board pack in genuine leather corporate folder with the corporate logo hot-stamped, the financial report printed on 120-gram cotton paper, the operating report with colour graphics, the CEO presentation on USB with PDF and PowerPoint files, and the CEO letter addressed to the attendees. For corporates that prefer digital versions, we produce the board pack on tablet or USB with digital signature.

Session material includes the attendee folders (cotton paper or leather per budget), the whiteboard markers, the name and area identification cards, the water and specialty coffee, the sweets and fruit, and the lunch catering when the session runs a full day. Official recording runs on a professional camera and is delivered edited to the corporate in MP4 format within five business days after the session. The minute is drafted by Internal Communications and signed by all attendees. For corporates with northern border operations we also run hybrid session with connection to the plants via Microsoft Teams or Zoom.

Gift curation by seniority and occasion

The quarterly meeting gift curation is built with the executive committee and Internal Communications, with two distinct lines: operational gift for attendees and premium-plus gift for the C-Suite and special guests. For operational attendees we run gifts from MXN 800 to 2,500: canvas backpack with corporate logo, hard-cover notebook, stainless steel thermos, specialty coffee kit, ceramic mug with logo, organic cotton T-shirt. The gift is delivered at the start of the session in a fabric bag with the fiscal year.

For C-Suite attendees and special guests we run premium gifts from MXN 5,000 to 25,000: Citizen or Casio watch, Montblanc pen, Tumi luggage, Sony or Bose headphones, fine-dining experience, contemporary Mexican art piece. The gift ships in a leather envelope with a personalised CEO card and is documented with the attendee's signature. For international attendees (US, Canadian, European headquarters) we run gifts in USD with Banco de México daily conversion and USMCA deduction support when the gift ties to regional talent retention.
