Q3 corporate events: summer offsite, statutory bonus and 15 September fiestas patrias

The third quarter of the Mexican corporate calendar opens with the summer offsite (July-August in beach destinations or Bajío haciendas), runs through the statutory bonus delivery (15 days of salary before 15 July under article 87 of the LFT), brings the fiestas patrias on 15 and 16 September, and closes with the Q2 results conference and the start of the next year's budget. Corp-Merch.MX produces the Q3 chain of events for corporates in Mexico City, Guadalajara, Monterrey, Querétaro, Tijuana and Mérida, including offsite logistics, 15 September gift, internal fiesta patria production and results conference material. We work from 30 pieces with CFDI 4.0 invoicing to SAT, 16% VAT, deductible as an Industrial Relations or Training expense, with deduction support for IMMEX programmes and USMCA operations.

Logistics, calendar and Q3 risk hedging

The third quarter of the Mexican fiscal year concentrates the highest amount of logistics activity because of the overlap between summer offsite and the rainy season in some regions. The optimal beach offsite window is the second half of July and the first of August, before the Pacific and Caribbean hurricane seasons peak. Hurricane season starts 15 June in Puerto Vallarta, 1 June in Riviera Maya and 15 June in Los Cabos. For corporates that prefer Bajío haciendas, the window is wider and weather-related cancellation risk is minimal.

The July statutory bonus delivery must be coordinated with the payroll calendar so the kit arrives between 10 and 14 July, one day before the statutory deposit. The internal fiesta patria is normally scheduled between 13 and 16 September, depending on the labour calendar. For corporates with northern border operations, we also produce the offsite in Mexican destinations with ground transport coordination and border crossing logistics. Invoicing is issued in MXN at the Banco de México exchange rate of the day; for corporates headquartered in the United States, we also invoice in USD with daily conversion and USMCA support when the event involves regional operations.

Gift curation by occasion and seniority

The Q3 gift curation is built with the HR committee and Internal Communications, with three distinct lines: offsite gift, statutory bonus gift and patriotic gift. For the offsite we run operational gifts from MXN 800 to 2,500: canvas backpack with event logo, organic cotton T-shirt, thermos, notebook, beach kit (towel, sunblock, cap). For offsite attendees who sit on the executive committee we run premium gifts from MXN 5,000 to 18,000: Citizen watch, Montblanc pen, Tumi luggage, fine-dining experience.

For the statutory bonus kit we run gifts from MXN 500 to 5,000: box with Mexican artisanal chocolates (Mayordomo, Cuna de Piedra), wine or mezcal bottle from a local producer (Monte Xanic, Amores, Casa Dragones), personalised CEO card. For the 15 September patriotic gift we run gifts from MXN 300 to 2,500: Saltillo sarape, palm sombrero, San Luis Potosí rebozo, mug with patriotic motifs, notebook with the 1917 Constitution cover. For VIP attendees at the results conference we run gifts from MXN 8,000 to 120,000: Citizen or Longines watch, Montblanc pen, contemporary Mexican art piece, travel luggage.

Programme, MOQ and costs

Offsite kit — from MXN 950 before VAT per piece on a 100-piece run. Statutory bonus kit — from MXN 580 before VAT per piece on an 80-piece run. Fiestas patrias kit — from MXN 380 before VAT per piece on a 100-piece run. Premium shareholder kit — from MXN 18,000 before VAT per piece on a 15-piece run. Offsite production (transport, accommodation, catering, workshops) and fiesta patria production (ambient, music, catering) are quoted separately based on scope. Booking requires an eight-point brief: quarterly events, tentative dates, number of employees or attendees per event, budget per piece, suggested gift, venue, brand manual and confidentiality handling.

For corporates with IMMEX operations on the northern border, we invoice in USD with deduction under the IMMEX programme when the gift ties to plant-floor talent retention. For corporates with USMCA regional operations, we coordinate gift shipping to offices in the United States and Canada with international courier and customs documentation. For corporates headquartered abroad we invoice in USD, EUR or RUB as applicable, with Banco de México daily conversion.
