Q1 corporate events: the quarter that sets the fiscal year

The first quarter of the Mexican corporate calendar opens the second week of January with the annual kickoff, runs through the first board meeting of the year and the presentation of the previous fiscal year's results, brings International Women's Day on 8 March, and closes with university graduations in February and the early-year offsite window. Corp-Merch.MX produces the Q1 chain of events for corporates in Mexico City, Guadalajara, Monterrey, Querétaro, Puebla, Mérida and Tijuana, including board kit, kickoff production, 8 March gift, executive committee dinner and CEO speech identity guidelines. We work from 30 pieces with CFDI 4.0 invoicing to SAT, 16% VAT, deductible as an Industrial Relations or Training expense, with deduction support for IMMEX programmes and USMCA operations when the kickoff coordinates plants on the northern border.

Logistics, calendar and Q1 risk hedging

The first quarter of the Mexican fiscal year concentrates the highest amount of event production logistics in a short period. The second week of January coincides with the post-holiday return and venue and supplier availability is limited, so booking must close before 15 December of the previous year. The January board meeting is normally scheduled between 20 and 31 January, outside the Davos window and before the Convención Bancaria that takes place in Acapulco or Mexico City in mid-March. The 8 March delivery must be scheduled to arrive between 6 and 7 March so the kit reaches provincial offices in time; national couriers are running at full capacity that week.

Holy Week 2026 falls between 29 March and 4 April, so Q1 closing offsites must be scheduled before 27 March or moved into the Q2 window. For corporates with operations on the northern border (Tijuana, Juárez, Matamoros, Nuevo Laredo), the Q1 offsite is organised in Puerto Vallarta, Mérida or Mexico City to avoid Holy Week logistical complications. For corporates with operations in the Bajío (Querétaro, San Luis Potosí, Aguascalientes, León), the offsite runs in a local hacienda with full production. Invoicing is issued in MXN at the Banco de México exchange rate of the day; for corporates headquartered in the United States, we also invoice in USD with daily conversion and USMCA support when the event involves regional operations.

Gift curation by rank and seniority

The Q1 gift curation is built with the HR committee and Internal Communications. For the annual kickoff we run operational gifts from MXN 800 to 2,500: canvas backpack with thermos, hard-cover notebook, 10,000 mAh powerbank, ceramic mug with logo, specialty coffee kit. For the employee-of-the-year awardees we run premium gifts from MXN 5,000 to 25,000: Citizen or Casio watch, Montblanc pen, iPad tablet, Tumi luggage, fine-dining experience at Pujol or Quintonil.

For the January board directors we run premium-plus gifts from MXN 18,000 to 120,000: Longines or Tag Heuer watch, contemporary Mexican art piece (Kurimanzutto gallery, Zona Maco), Montblanc Meisterstück pen, leather travel luggage, fine-dining experience. The gift ships with no visible price to avoid comparisons between recipients and is documented with a personalised letter on hot-stamped card signed by the CEO. For 8 March we run unisex and wellness gifts: organic cotton bag, aromatic candle made in Oaxaca, specialty tea, hand-made paper notebook, silver jewellery designed by Mexican artisans. For graduations we run gifts by family budget with a five-option catalogue per range.

Event production (stage, host, screens, CEO video) is quoted separately based on venue, headcount and scope.
For corporates with IMMEX operations on the northern border, we invoice in USD with deduction under the IMMEX programme when the gift ties to plant-floor talent retention. For corporates headquartered in the United States we invoice in USD with Banco de México daily conversion.

Frequently asked questions

Can you handle full production of the annual kickoff?

Yes — we run full production from venue, stage, LED screens, host, CEO video, official photography through to the gift for every employee. We work with venues in Mexico City, Guadalajara, Monterrey, Querétaro, Puebla, Mérida and Tijuana, and we also produce offsites in Bajío haciendas, Puerto Vallarta or Riviera Maya beach hotels, and convention centres.

How do you keep the board meeting confidential?

Board production runs under an NDA signed by the Corp-Merch.MX team. Folders, documents and gift travel in a sealed valija with chain of custody, the venue is reserved under an event code rather than the corporate's legal name, and the invoice is issued with generic corporate tax data without breaking down individual line items.

Can you deliver the 8 March kit in provincial offices?

Yes — we deliver in a single shipment to every office of the corporate in Mexico City, Guadalajara, Monterrey, Querétaro, Tijuana, Juárez, León, Mérida, Puebla, Culiacán and the rest of the country. The courier schedule is coordinated with the HR calendar so the kit arrives between 6 and 7 March. For border offices we also handle delivery in USD.

Is Corp-Merch an official partner of any gift supplier or venue?

No. Corp-Merch.MX is an independent workshop for curation and production of corporate events. The gift suppliers, restaurants, hotels and brands mentioned on this page are sector reference points and appear here for descriptive purposes only.
