Planning merch for Mexican delegations at the Madrid Autumn Festival 2027

Dates

Autumn 2027 (the detailed programme is published by the festival direction each year between May and June)

Venue

Madrid, Spain (network of municipal halls and theatres of the programme)

Currency and invoicing

MXN, CFDI 4.0 with payment complement; Carta Porte 3.0 for ground shipments to the freight forwarder's warehouse in TOLUCA or AICM

Event operator

Programming direction of the festival, under the culture office of the Madrid City Council

The Madrid Autumn Festival is one of the most recognised international windows for contemporary performing arts in the Spanish language, and each edition receives submissions from companies in Ibero-America, the Southern Cone, Mexico and Europe. For a Mexican delegation — a contemporary dance company from Mexico City premiering a co-production with a European theatre, an independent theatre company from Guadalajara bringing a one-person show to the alternative-hall circuit, a new-music ensemble from Monterrey debuting in the chamber series, a Tijuana-based theatre producer invited to the new-dramaturgies section, or a public institution organising the European tour of a national company — Madrid operates as a visibility platform and as a meeting point with European programmers who then sustain the tour through the following season.

The merch programme of a Mexican cultural delegation at a performing arts festival is not the programme of a commercial stand: the audience is a mix of programmers, specialist press, cultural managers and general public attending the function, and the reading of the brand shifts. The merch divides into four sets. The first are the playbills and hand programmes: books or booklets with the artistic dossier, the company CV, production photos and credits, usually in a bilingual Spanish-English or Spanish-French edition, with a discreet mark of the sponsoring institution and the European co-producers. The second are delegation shirts and sweatshirts for the cast, the technical team and the managers who travel, with a compact mark that reads from the lobby of the hall and from the dressing-room area. The third are gifts for invited functions: small, well-finished pieces, artist books, screen-printed postcards, delegation tote bags or catalogue packs handed out at the end of the function to programmers and press as a follow-up tool for the tour. The fourth is VIP merch for key European programmers, which is normally more curated and is delivered privately during festival week.

The operational challenge for a Mexican delegation is that the material is shipped from Mexico with the consolidated cargo in TOLUCA or AICM, and enters Europe through Madrid-Barajas under a freight forwarder's waybill with the import DUA already processed under temporary admission. The invoice of the order goes out in MXN with CFDI 4.0 on the Mexican leg, with payment complement if the deal closes with 30-day terms, and the CFDI includes the Carta Porte 3.0 complement when the shipment is routed by ground from TOLUCA to the forwarder's gateway in Laredo or McAllen; on the European side the delivery runs through the forwarder to the delegation's hotel, the hall where the function plays, or the festival's common warehouse when the operation centralises all international-delegation cargo. In previous editions of the festival that common warehouse has worked as a delivery point for playbills, hand programmes and gifts that are then distributed to each delegation by hall and by function time.

For playbills the production challenge is that of any well-finished bilingual book: paper of more than 130 grams, sewn or perfect binding, CMYK cover with selective UV varnish when the main image needs protecting, and a production time of four to six weeks for runs of 200 to 800 copies. For delegation shirts and sweatshirts the most used setup is heavy cotton with one-colour screen print for the main mark and compact embroidery for the institutional logo; the marking reads from a distance and resists intensive use across the tour without deforming. For invited-function gifts the usual is a natural-cotton tote bag with one-colour screen print, paired with a screen-printed postcard set or an artist booklet, all packed in a Manila envelope with a sticker or hangtag carrying the delegation mark.

If the tour also covers functions in other European cities — Barcelona, Bilbao, Lisbon, London, Paris or any capital where the company has open co-productions — we treat the merch programme as a single master order with distribution by city. The Mexican invoice of the material produced in Mexico goes out with a single CFDI 4.0 for the entire shipment, and the European leg of distribution and final delivery runs through the forwarder with child waybills by country. That way the company closes a single purchase order with its accounting and treasury, and at the end of the tour is left with a single customs document and a single CFDI for the whole operation.

For VIP gifts to key European programmers we usually work with curated, short-run pieces: limited-edition artist books, utilitarian ceramic or wood objects produced in collaboration with a Mexican workshop, or textile pieces on a loom with a discreet mark. The curating of those pieces is done with the company's artistic direction and with the institutional communication area, and the delivery is scheduled privately — a working breakfast, a post-function cocktail, a visit to the parallel exhibition of the festival — because the meaning of the VIP gift is to open a programming conversation for the future, not to appear in a public photo of the festival.

Production and shipping logistics to Madrid

Before starting production, confirm final art, runs per item, playbill languages, the split between production in Mexico and local delivery in Madrid, and the named consignee on site — the delegation's producer, the production area of the theatre where the function plays, or the festival's common warehouse. The Mexican invoice is issued with CFDI 4.0 and payment complement on the Mexican leg; the cross-border shipment is routed by ground from TOLUCA or AICM to the forwarder's gateway in Laredo or McAllen with Carta Porte 3.0 when applicable, and the final delivery in Madrid runs through the European forwarder. If the tour continues to other cities, the country split is done with child waybills from the Madrid warehouse.

Planning timeline

10–12 weeks: close the playbill, the bilingual texts, the merch pieces, the runs per delegation and the split between production in Mexico and delivery at the festival's common warehouse.

6–7 weeks: approve physical production-grade samples for each line, including the playbill, the screen-printed shirt, the institutional-logo embroidery and the invited-function gift.

3–4 weeks: finish production, quality control and packing per consignee, and close the loading window at the freight forwarder's hub so the shipment leaves Mexico in time to reach Barajas.

Festival week: reconfirm the common warehouse, the delegation producer, the function schedule and the local leg of VIP delivery in private to key programmers.

Frequently asked questions

When is the right time to raise the order for the Madrid Autumn Festival 2027?

Ten to twelve weeks before the festival opens when the material is shipped from Mexico and the cross-border freight leg reaches Madrid through a freight forwarder. Shorter programmes are possible only after written confirmation of stock, marking methods and the delivery window at the festival warehouse.

Can the order go directly to the hall where the function plays?

Yes, with the delegation producer or the theatre production area named in writing. The festival's common warehouse in Madrid works as an alternative delivery point for international delegations, and from there the material is distributed to each hall by function time.

Can you produce well-finished bilingual playbills in a short run?

Yes. We work with sewn or perfect binding, 130–150 gram paper and a CMYK cover with selective UV varnish. For runs of 200 to 800 copies the production time is four to six weeks, and the physical production-grade sample is approved 6–7 weeks before shipment.

Is Corp-Merch a partner or official supplier of the Madrid Autumn Festival?

No. Corp-Merch is an independent external supplier that helps Mexican cultural delegations prepare their own merch for their functions at the festival. It does not organise, sponsor or represent the programming direction of the festival or the culture office of the Madrid City Council.
