Planning merch for Mexican early-music ensembles in Europe 2027

Dates

Summer 2027 (the detailed programme of each venue is published by the festival six months in advance)

Venue

Europe (network of historic churches, palaces and chamber halls of the programme)

Currency and invoicing

MXN, CFDI 4.0 with payment complement; Carta Porte 3.0 for ground shipments to the freight forwarder's warehouse in TOLUCA or AICM

Event operator

Artistic direction of the festival, in coordination with the European network of early-music festivals

The European circuit of Renaissance-music festivals is a concentrated window of the European summer, normally between June and September, and gathers early-music ensembles from across Ibero-America, central Europe, the United Kingdom and the Netherlands in a network of historic churches, Renaissance palaces and chamber halls where the early repertoire finds its original acoustics. For a Mexican early-music ensemble — a Mexico City chamber group specialised in Renaissance polyphony, a Guadalajara vocal ensemble working the Iberian and Novohispanic repertoire, a period-instrument group from Monterrey invited to the chamber cycle, or a Mexican foundation organising the European tour of a specialised choir — that network operates as a meeting point with European programmers, with sector record labels and with European colleagues who then sustain tours through the following season.

The merch programme of an early-music ensemble on a European tour is different from that of a contemporary festival: the audience is very specific — programmers of the REMA network, artistic directors of neighbouring festivals, labels such as Harmonia Mundi, Glossa or Alpha, musicologists, repertoire researchers, fixed subscribers of the season and the melomane public — and the reading of the brand is more discreet. The merch divides into four sets. The first are the bilingual concert programmes: booklets with the programme note, the member biographies, the musicological commentary on the works, the English or French translations and the credits of the co-producing institutions, usually in A5 format with saddle-stitch or perfect binding. The second are ensemble shirts and blouses for the members, the artistic director and the technical team who travel, with a compact mark that reads from the back of the church or palace. The third are gifts for invited recitals: limited-edition booklets, postcards with repertoire engravings, linen or cotton tote bags with one-colour screen print, and compact sets handed out at the end of the concert to programmers and specialist press. The fourth is the material for masterclasses, which normally accompanies the participation of one member of the ensemble as invited teacher.

The operational challenge for a Mexican ensemble is that the material is shipped from Mexico with the consolidated cargo in TOLUCA or AICM, and enters Europe under a freight forwarder's waybill with the import DUA already processed under temporary admission. The invoice of the order goes out in MXN with CFDI 4.0 on the Mexican leg, with payment complement if the deal closes with 30-day terms, and the CFDI includes the Carta Porte 3.0 complement when the shipment is routed by ground from TOLUCA to the forwarder's gateway in Laredo or McAllen. In Europe the delivery runs through the forwarder to the hotel, the church where the concert plays, the palace of the tour, or the common warehouse the festival enables for the guest ensembles, and from there it is distributed to each venue by concert time. When the tour covers several countries — Spain, France, Italy, the Netherlands — the distribution is done with child waybills from the central European warehouse.

For concert programmes the production challenge is that of any well-finished cultural booklet: paper of more than 100 grams, saddle-stitch or perfect binding by run, CMYK cover with a matte finish that reads well in the penumbra of a Baroque church, and a production time of three to five weeks for runs of 200 to 600 copies. For ensemble shirts and blouses the most used setup is mid-weight cotton with one-colour screen print for the main mark and compact embroidery for the institutional logo, in a sober palette that dialogues with the repertoire's aesthetic. For invited-recital gifts the usual is a linen or natural-cotton tote bag with one-colour screen print, paired with a set of postcards with repertoire engravings and an artist booklet, all packed in a paper envelope with a sticker or hangtag carrying the ensemble mark.

If the tour also covers masterclasses or master classes at European conservatories — a common practice for ensembles that send a member as invited teacher — the merch programme extends to notebooks, pencils or pens with the ensemble mark, and to bilingual pedagogical dossiers documenting the working methodology of the group. That additional line goes out with its own run and its own production schedule, and is invoiced in the same master order so the customs and distribution operation closes as a single shipment. The Mexican invoice includes that material in the same CFDI 4.0 with a clean per-line split, so the ensemble's accounting can distribute the expense between the tour line, the teaching line and the institutional communication line.

For VIP gifts to key European programmers — artistic directors of the REMA network, sector record labels, musicologists invited to the festival's conferences — we usually work with curated, very short-run pieces: facsimile editions of repertoire manuscripts interpreted in the workshop, facsimiles of historical edition covers printed in short-run presses, or artisanal stationery pieces produced in collaboration with a Mexican workshop. The curating is done with the ensemble's artistic direction and with the institutional communication area, and the delivery is scheduled privately during a post-concert cocktail or during a visit to the parallel exhibition of the festival, because the meaning of the VIP gift is to open a programming and recording conversation for the future, not to appear in a public photo of the festival.

Production and shipping logistics to Europe

Before starting production, confirm final art, runs per item, programme languages, the split between production in Mexico and local delivery in each venue, and the named consignee on site — the ensemble producer, the festival production area in each city, or the common warehouse the artistic direction enables. The Mexican invoice is issued with CFDI 4.0 and payment complement on the Mexican leg; the cross-border shipment is routed by ground from TOLUCA or AICM to the forwarder's gateway in Laredo or McAllen with Carta Porte 3.0 when applicable, and the final delivery in each European venue runs through the local forwarder. If the tour covers several countries, distribution is done with child waybills from the central European warehouse with single customs clearance.

Planning timeline

10–12 weeks: close the concert programme, the bilingual texts, the merch pieces, the runs per venue and the split between production in Mexico and delivery at the festival's common warehouse.

6–7 weeks: approve physical production-grade samples for each line, including programme, screen-printed shirt, institutional-logo embroidery and invited-recital gift.

3–4 weeks: finish production, quality control and packing per consignee, and close the loading window at the freight forwarder's hub so the shipment leaves Mexico in time to reach the European warehouse.

Festival week: reconfirm the common warehouse, the ensemble producer, the concert schedule and the local leg of VIP delivery in private to key programmers and labels.

Frequently asked questions

When is the right time to raise the order for the Renaissance Music Festival 2027?

Ten to twelve weeks before the tour starts when the material is shipped from Mexico and the cross-border freight leg reaches Europe through a freight forwarder. Shorter programmes are possible only after written confirmation of stock, marking methods and the delivery window at the festival warehouse.

Can the order go directly to the church or palace where the concert plays?

Yes, with the ensemble producer or the festival production area named in writing. The festival's common warehouse works as an alternative delivery point for guest ensembles, and from there the material is distributed to each venue by concert time.

Can you produce well-finished bilingual concert programmes in a short run?

Yes. We work with saddle-stitch or perfect binding, 100–130 gram paper and a CMYK matte cover. For runs of 200 to 600 copies the production time is three to five weeks, and the physical production-grade sample is approved 6–7 weeks before shipment.

Is Corp-Merch a partner or official supplier of the Renaissance Music Festival 2027?

No. Corp-Merch is an independent external supplier that helps Mexican early-music ensembles prepare their own merch for the European tour. It does not organise, sponsor or represent the artistic direction of the festival or the European network of early-music festivals.
