Onboarding corp final bundle: the first week the employee actually remembers

The onboarding corp final bundle handles the new employee's first day at corporates with offices in CDMX, Guadalajara, Monterrey, Querétaro and Puebla. It's the kit delivered at the office on day one —with a polo shirt, branded thermos, corporate backpack, notebook and a welcome card from the CEO— and invoiced with CFDI 4.0 to HR within the first 30 days. Built for companies running between 8 and 200 monthly new hires that need a consistent process that does not depend on the goodwill of the HR team.

Why the first day defines the first year

Corporate onboarding in Mexico faces a structural tension: HR has between 5 and 25 days to prepare the new employee from the moment they sign the offer letter to the day they walk through reception, and day one is the only chance to make a first impression that lasts the full first year. The new hire judges how serious the company is by the quality of the welcome kit: a generic thermos and an unbranded t-shirt reads as improvisation; a properly curated kit with a personalised CEO note reads as a company that cares about the details.

The onboarding corp final bundle runs on three parallel tracks: confirmation of the new-hire date with HR and hiring manager (3 to 5 days before start), production of the kit with lead time for 24 to 72 hour delivery, and physical delivery to the office or agreed pickup point via tracked courier. For corporates running several legal entities or IMMEX operations (Mexico's maquiladora, manufacturing and export services regime), we sync delivery with badge activation and payroll onboarding.

The kit is invoiced with CFDI 4.0 at the end of the calendar month using CFDI Uso G03 (general expenses) when the kit is treated as administrative spend, or N01 (payroll) when it's considered part of the compensation package. Deductibility depends on the fiscal destination of the expense and is validated with the client's accounting team before the first order.

Delivery logistics and HR operations

Kit delivery runs via tracked courier to the corporate address or to the employee's home address when the client supports remote or hybrid schemes. For deliveries in CDMX, Guadalajara, Monterrey and Querétaro the standard timeline is 24 to 48 hours via DHL, FedEx or Estafeta. For secondary cities and remote destinations (Mérida, Tijuana, León, Aguascalientes, Saltillo) the timeline extends to 3 to 5 business days with express courier.

For corporates running multiple legal entities across different states we sync the delivery with onboarding in the client's payroll system (typically SAP SuccessFactors, Workday, Oracle HCM, Kueski Pay or an internal tool). The CFDI 4.0 invoice goes to HR with the corporate's fiscal address and the 16% IVA broken out line by line.

For IMMEX entities hiring under the maquila regime we coordinate delivery against IMSS (Mexican Social Security Institute) registration and badge issuance. The kit lands between the official start date and the next 5 business days. The invoice uses the CFDI Uso key matching the entity's fiscal regime.

For corporates with permanent work-from-home arrangements we ship directly to the employee's home with email and SMS confirmation. Courier timing is coordinated with the employee's in-office days for in-person handover or with HR-confirmed addresses for remote delivery.

For corporates with a recurring monthly hiring calendar (continuous new hires) we operate an annual contract with preferential pricing, base-piece stock to absorb last-minute spikes, and a tracking dashboard with KPIs for new-hire satisfaction.
FAQ — onboarding corp final bundle

Can you handle new-hire starts with less than 5 days of lead time?

Yes. For urgent new-hire starts (late signature, fast rehire, unplanned replacement) we run an emergency kit at 5 to 7 business days with a 25% surcharge. The emergency kit ships with 4 base pieces (backpack, polo, thermos, notebook) without employee-name personalisation.

Can you include personal protective equipment for plant operations?

Yes. For corporates with operations, factory, warehouse or construction staff we integrate basic PPE into the kit: hard hat, reflective vest, gloves, safety glasses, earplugs. Each piece complies with NOM-009-STPS-2011 and ships with basic usage training. The CFDI 4.0 invoice lists each PPE item with its specific description.

Can you handle multiple sizes within a single order?

Yes. We handle orders with a documented size curve per client (typically CH 10%, M 25%, G 35%, EG 20%, XGG 10%). For corporates with 100+ monthly hires we ship the kit with the size confirmed by HR directly from the payroll file or employee record.

Can you bill multiple legal entities from one kit run?

Yes. For corporate groups running several legal entities we issue separate invoices per entity with 16% IVA broken out and the corresponding CFDI Uso key. Delivery is consolidated at a central warehouse and distributed to each site with courier tracking per recipient. Coordination with the client's accounting team happens ahead of the first order.

Do you handle welcome kits for interns or social service providers?

Yes. For internship, social service or fellow programmes we offer a reduced 3-piece kit (polo, thermos, notebook) at preferential pricing. The invoice carries the specific programme description and the corporate's RFC (Mexican tax ID).

Can you include electronics like tablets or headphones?

Yes. For corporates shipping tech gear as part of the kit (laptop, tablet, headphones with microphone for remote work) we coordinate selection, configuration and delivery with the corporate's procurement team. The CFDI 4.0 invoice separates electronics and books them to fixed assets when applicable.
