Corp package 74 final: the kit a Mexican corporate hands out at the booth and to the staff at the trade show so the brand looks professional from setup to teardown

The Mexican corporate that participates in trade shows like Expo Guadalajara, Centro Citibanamex, CINTERMEX, WTC CDMX or Pepsi Center WTC knows that a professional booth with agency design does not sustain the brand if the staff wears a 3-year-old t-shirt, if the visitor who asked for a sample leaves without a card, if the corporate gift arrives wrinkled at the event because the courier did not have Carta Porte 3.0. The Tax Administration Service requires Carta Porte 3.0 to document the transport of goods in national territory. The Corp package 74 final ships an event backpack with sample compartment, a staff t-shirt with embroidered name, a laminated credential with QR code to the CRM, a premium boxed visitor gift, an installation kit with tools and signage, a trade show protocol guide, and a steel thermal bottle with logo. CFDI 4.0 is issued under key G03 on the trade shows and exhibitions line, fully deductible under article 27 of the LISR.

Why trade show presence fails without tangible logistics

Carta Porte 3.0 is mandatory since 2023 to document the transport of goods by road, rail, air and maritime in national territory. SAT verifies Carta Porte in VAT retentions and foreign trade operations. The Mexican corporate that participates in trade shows with promotional material, gifts and booth equipment must document the transport from its warehouse to the trade show venue with the Carta Porte 3.0 complement correctly issued to avoid sanctions.

The Mexican corporate spends on average between USD 270 and 780 per event on trade show material that is delivered loose and ends up wrinkled, lost or in another stand's warehouse. The Corp package 74 final rationalises that spend and ships a standardised kit that backs the trade show presence: the backpack carries the samples, the t-shirt identifies the staff, the credential opens doors in the VIP zone, the gift leaves a footprint on the visitor, the installation kit sets up the booth, the protocol guide navigates the event, the thermal bottle maintains hydration. The invoice is segregated from general expenses and reported as trade shows investment.

For corporates with active trade show programmes (Participation Calendar, Sponsorship Programme, alliances with venues such as Expo Guadalajara, Centro Citibanamex, CINTERMEX, WTC CDMX, Pepsi Center WTC, Centro de Convenciones de Puebla, Mundo Imperial Acapulco), the kit is delivered with the programme calendar and QR code for registration on the internal tracking platform. The marketing or events area receives a dashboard with compliance by event, percentage of staff with assigned kit, and leads generated rate. The invoice is segregated from marketing spend and reported as brand capital investment.

For corporates with multiple legal entities and nationwide operations, the kit is delivered in a single order with lots segregated by RFC and independent invoicing per entity. Premium logistics with DHL or Estafeta deliver in 3 to 5 business days to any state in the country, with tracking and delivery confirmation. For free zone deliveries (typical of IMMEX with events in Baja California, Sonora or Tamaulipas), VAT is calculated at 0% rate and the Free Zone complement is attached with the SAT authorisation number. For the transport of material to the venue, CFDI is issued with Carta Porte 3.0 complement.

How the trade show kit is invoiced under Carta Porte 3.0 and LISR

The Corp package 74 final operates in two invoicing modes. The first is order per event with CFDI 4.0 issued at the end of the event with line-by-line description for deduction as marketing spend. The second is annual contract with fixed unit price and invoice against actual delivery each quarter, with payment complement at 30 days when the corporate operates on credit lines. For the transport of material to the venue, CFDI is issued with Carta Porte 3.0 complement and carrier data.

CFDI Use depends on the client tax regime and the receiving area. For the General Regime with marketing or events area, the invoice is issued under G03 (general expenses) on the trade shows investment line. For RESICO, the same key is used because the kit counts as brand capital investment. Validation with the accounting area happens before the first event to confirm the specific expense account and the correct key.

VAT 16% is broken down line by line on CFDI 4.0. For free zone deliveries (typical of IMMEX with events in Baja California, Sonora or Tamaulipas), VAT is calculated at 0% rate and the Free Zone complement is attached with the SAT authorisation number. For interstate transport of material, the Carta Porte 3.0 complement is attached with carrier data (RFC, SCT permit number, plates, cargo insurance) and documented origin-destination (warehouse → trade show venue).

CFDI cancellation or correction is processed within 24 hours of the request. For model or specification changes after the event, we handle replacement with additional charge and new CFDI for the additional piece. A kit not delivered because the event was cancelled before the first day is invoiced only if the order confirmation was signed by the marketing area at least 5 business days in advance. For events cancelled due to force majeure (earthquake, pandemic, strike), a credit note is issued at no cost.

Sizes, colours and stock curve

The Corp package 74 final backpack is universal with capacity for 17" laptop. The polo has curve XS 10%, S 30%, M 35%, L 15%, XL 5%. The credential is universal with CR80 size. The gift is universal with variable content per budget. For employees with large size (2XL or 3XL), we offer an extended polo version with surcharge.

Polo and backpack colours are selected on the first order and kept stable to build brand identity. Common combinations in Mexican corporates: black backpack + black polo + white credential + black gift for administrative and financial profiles; navy backpack + blue polo + white credential + blue gift for technical and operational profiles; Oxford grey backpack + grey polo + white credential + grey gift for commercial and customer service profiles.

For corporates with more than 5 events per year, we run a rotating warehouse stock with monthly replenishment. The corporate pays for the kit only when event participation is confirmed, with no minimum volume commitment. Premium logistics with DHL or Estafeta deliver in 3 to 5 business days to any state in the country. For corporates with multiple legal entities, lots are segregated by RFC with independent invoicing per entity.
