LATAM sales conference · Regional directors

Corp Pack 26 final: the kit of the sales director who brings Mexico, Colombia and Brazil under one roof

The LATAM sales conference is where the Mexican corporate with regional operations brings together between 60 and 150 commercial directors, country managers and KAMs from Mexico, Colombia, Chile, Argentina, Peru and Brazil —the regional director flying in from Bogotá, the country manager arriving from São Paulo, the enterprise KAM joining from Buenos Aires—. Corp Pack 26 final is delivered in a bilingual kit: folder with documentation in Spanish and Portuguese for Brazil, polo with LATAM flag colors embroidered on the sleeve, hand-stitched leather agenda with regional detail, roller pen engraved with the corporate isotype and plaque with the LATAM map. The CFDI 4.0 invoice is issued with key G03 (general expense) under the regional commercial line with full deduction and compliance with invoicing regulations of each attending country.

Why the LATAM conference needs bilingual documentation per country

The Mexican corporate with LATAM operations faces a concrete operational problem: the regional conference brings together attendees who speak Spanish, Portuguese and occasionally English. The monolingual welcome kit in Spanish leaves out the Brazilian team, who operates in Portuguese. The internal corporate documentation in Spanish must be translated into Portuguese for Brazil. The conference invoices must comply with Mexican fiscal regulation (CFDI 4.0) when applicable and with local regulation when the corporate has an entity in the attending country. Corp Pack 26 final solves all of that with a bilingual kit from manufacturing and per-country fiscal compliance advisory.

The kit is delivered in two moments. The first moment is hotel arrival: the attendee's room has the folder with the conference's bilingual documentation (day's agenda, commercial brief, success cases per region), the polo with LATAM colors, the leather agenda and the QR accreditation badge. The second moment is the regional opening dinner: that's when the roller pen engraved with the attendee's name and the plaque with the LATAM map are given. Staggered delivery allows each element to be used in its proper moment of the program.

For corporates with multiple legal entities in LATAM (typical for groups operating in Mexico, Colombia, Chile, Argentina, Peru and Brazil), the kit is invoiced per entity with separate lines per RFC when applicable and delivered in an independent bag labeled by country. Stock consolidation happens 10 weeks ahead for conferences above 100 kits and 8 weeks for conferences below 100. Logistics uses international courier (DHL Express, FedEx Priority) with protocol-area signed confirmation.

For Brazilian attendees requiring local invoice with CNPJ, we coordinate with the corporate's Brazilian fiscal team to issue Nota Fiscal Electrônica (NF-e) per the regulation of each Brazilian state. The Mexican invoice (CFDI 4.0) is issued only for the Mexican portion of the kit when applicable. Attendees from Chile, Argentina, Peru and Colombia receive the kit without local invoice, with compliance with the receiving country's customs regulations when the gift value exceeds the declaration threshold.

How the LATAM regional conference is invoiced and deducted

Corp Pack 26 final is invoiced as CFDI 4.0 issued in two modalities. The first is closed-event: when the corporate confirms the final attendee list 1-2 weeks in advance, we issue a CFDI 4.0 with the total kit amount, broken down by line and dated on the last day of the event. The USO CFDI key depends on the receiving department: G03 (general expense) under regional commercial line when charged to the Mexican corporate, or the equivalent key in each attending country when invoiced locally.

The second modality is annual contract with fixed unit price: the corporate signs a contract covering all regional conferences of the year (LATAM general, LATAM North, LATAM South) at frozen unit price. The invoice is issued per event with payment complement at 30 or 60 days per client policy. This modality allows annual budget planning and locks price during high inflation.

For Brazilian attendees, the local invoice is issued with NF-e per the regulation of the Brazilian state where the attendee has fiscal domicile. We coordinate with the corporate's Brazilian fiscal team to ensure compliance with local regulation and avoid double taxation between Mexico and Brazil. The Mexican invoice (CFDI 4.0) is issued only for the Mexican portion of the kit when applicable.

For deliveries to the Mexican free zone (typical of attendees landing in Cancún from their countries and crossing to the free zone to visit a plant), IVA is calculated at 0% rate and the Free Zone complement is attached. For deliveries with inter-state Carta Porte, the Carta Porte 3.0 complement is attached. CFDI cancellation due to attendee no-show is processed within 24 hours with motivo 02.

Size curve, LATAM colors and regional logistics

The polo size curve is built from the confirmed regional team list. For 100 LATAM attendees, the typical curve is CH 8%, M 22%, G 30%, XG 22%, XGG 10%, with backup stock for extreme sizes. Distribution by country follows the corporate's operation: typically 40% Mexico, 20% Colombia, 15% Brazil, 10% Argentina, 10% Chile, 5% Peru and Ecuador.

Polo colors are assigned by attendee's country: white for Mexico, blue for Argentina, green for Brazil, red for Colombia, white for Chile, white for Peru. This assignment reinforces regional identity at the event and creates a visual map of LATAM when all attendees gather. Corporates with strict brand manuals can request a single corporate color for all attendees.

Regional logistics uses specialized international courier for commercial shipments (DHL Express, FedEx Priority, UPS Worldwide). Delivery is made to the event hotel 24 hours before the international attendee's check-in. For Mexican attendees, delivery is made to the event hotel with standard national courier. Delivery confirmation is signed by the corporate's protocol area.

For conferences with virtual LATAM attendees (typical of hybrid format with connection from São Paulo, Buenos Aires and Bogotá), the kit is shipped via international tracked courier with delivery 7-10 days before the event. Delivery is made to the virtual attendee's home with email follow-up and a welcome letter from the LATAM regional director. The client's protocol area receives a consolidated international delivery report.
