Corp Pack 17 final: the kit for the conventioneer who flew in from Monterrey or Mérida

The annual distributor convention is when a Mexican corporate pulls together between 150 and 400 attendees from every region: the regional manager flying in from Tijuana, the distributor owner traveling from Mérida, the commercial director landing from Monterrey with a carry-on. Corp Pack 17 final lands in the hotel welcome kit with a leather folder, 96-page executive agenda, polo shirt embroidered with the region number, engraved tumbler, QR-coded badge and a zippered document pouch. The CFDI 4.0 invoice is consolidated per event with a breakdown by requesting department for deduction under the public-relations and conventions line item.

Why a convention needs a unique kit per attendee

The typical Mexican corporate spends 1.4 million pesos on a 250-attendee convention: venue rental, hotel, food, transport, audiovisual production. Of that budget, between 4 and 7% goes to merchandise and documentation pieces, and that 4-7% determines the tangible memory the conventioneer takes home. A polo shirt with the region number embroidered (not generic, with North, Southeast, Central, Bajío or Pacific) shows up on the distributor's next visit to his buyers and reactivates the brand.

The kit is delivered in two moments. The first moment is hotel arrival: the attendee's room has the folder with the day's agenda, the QR badge, the CEO letter and a personalized welcome card on the desk. The second moment is the welcome meal or opening cocktail: that's when the tumbler, the polo and the document pouch are given. Staggered delivery prevents the kit from being lost in luggage and guarantees that every piece gets used during the event.

For corporates with multiple legal entities (typical for groups with Pharma, Consumer and Professional divisions), the kit is invoiced per entity with separate lines per RFC and delivered in an independent bag labeled by company. Size and color stock consolidation happens 8 weeks ahead for runs above 200 kits and 6 weeks for runs below 200. Hotel logistics uses specialized event courier (Estafeta Eventos, Castores) with protocol-area sign-off.

For conventions blending Mexican and LATAM attendees (typical for groups with operations in Colombia, Chile, Peru or Argentina), the kit includes bilingual documentation in Spanish and Portuguese for Brazil, with English customs labels for return. The CFDI 4.0 invoice is issued only for the Mexican portion of the kit; foreign attendees receive their kit without a domestic invoice and with a gift letter when customs require it.

How an annual convention is invoiced

Corp Pack 17 final is invoiced as CFDI 4.0 in two modalities. The first is closed-event: when the corporate confirms the final attendee count 1-2 weeks in advance, we issue a CFDI 4.0 with the total kit amount, broken down by line (folder, agenda, polo, tumbler, badge) and dated on the last day of the event. The USO CFDI key depends on the receiving department: P01 (advertising) when the kit is part of the event campaign, or G03 (general expense) when charged to public relations or conventions.

The second modality is annual contract with fixed unit price: the corporate signs a contract covering all conventions of the year (typically three: general convention, regional convention, commercial kick-off) at frozen unit price. The invoice is issued per event with payment complement at 30 or 60 days per client policy. This modality allows annual budget planning and locks price during high inflation.

For conventions funded by several departments (marketing, commercial, HR, executive office), the kit is billed with percentage breakdown and separate lines per RFC when departments belong to different legal entities. The 16% IVA consolidation happens within the same CFDI when all departments share an RFC, or in independent CFDI when there is fiscal separation.

When the convention crosses state lines (typical for events in Cancún, Los Cabos or Puerto Vallarta with attendees from Mexico City), an inter-state Carta Porte is issued with carrier data, total kit weight and declared value. The Carta Porte 3.0 complement is attached to the CFDI when the shipment crosses state lines or exceeds 50 km. CFDI cancellation due to attendee list changes is processed within 24 hours with motivo 02.

Size curve and hotel logistics

The polo size curve is built from the confirmed event list. For 250 attendees, the typical curve is CH 8%, M 22%, G 35%, XG 20%, XGG 10%, with backup stock for extreme sizes. For attendees with operational uniform (typical for industrial uniform distributors), we manage an alternative curve with pant sizes 32 to 44 and industrial shirt with reflective tape.

Hotel logistics uses specialized event courier that delivers to the attendee's room 24 to 12 hours before check-in. Delivery is made in a corporate bag with numbered seal and documented with a photo of the kit on the bed. The courier operates on a schedule aligned with the hotel's reservation calendar and notifies the corporate protocol area of any out-of-hours delivery.

For conventions in a hotel with full room block (typical for events at Centro de Convenciones de Puebla, Expo Guadalajara, WTC Mexico City, beach resort in Cancún), the hotel receives the kits 24 hours before check-in and takes them to rooms as a courtesy of the event. Coordination is done with the hotel sales team and confirmed with the reservation list 5 days before the event. Kits for staff and speakers are delivered directly to the production room.

For conventions with parallel virtual session (typical for hybrid events), the kit is shipped by individual tracked courier to remote attendees connecting from their city. Delivery happens 5 days before the event with email follow-up. The client's protocol area receives a consolidated delivery report and manages exceptions.

Pricing, MOQ and lead times

Prices in MXN before 16% IVA. Corp Pack 17 final starts at MXN 3,200 per unit from MOQ 50. At 150+ kits the price drops to MXN 2,750. At 300+ kits for a multi-hotel convention the price drops to MXN 2,420 with reserved safety stock and dedicated scheduling. CFDI 4.0 is issued at event close with full deductibility under public-relations expense.

Production lead time is 18 to 22 business days for kits with personalized embroidery and folder with hot stamping. Conventions above 250 kits need 25 to 30 business days with a schedule locked 5 weeks before the event. Hotel delivery happens 24 hours before check-in with tracked courier. Corporate venue delivery happens 48 hours before the event with protocol-area sign-off.

For conventions with LATAM destination (Bogotá, Lima, Santiago, Buenos Aires), the kit is assembled in Mexico City and shipped via international courier (DHL, FedEx) with 5-7 day delivery before the event. The commercial invoice includes an origin declaration and is attached when the client requires it. For conventions in Mexican free-trade zones (Cancún, Los Cabos, Puerto Vallarta), the kit is delivered with Carta Porte and standard 16% IVA applies.
